Job Description

The Project Manager is the point-person in charge of assigned projects within the agency and is the bridge between account management and creative teams tasked with the execution of the project. They ensure the scope of the project is sound, reporting regularly on the progress of the project and that it is staying on the approved schedule and within budget. Project managers strive to deliver every project on time and within scope. Project managers are skilled at getting the best out of the people and projects that they oversee. They thrive when planning projects and working with project teams. This position would report to a Senior PM.

Specific Job Responsibilities (including, but not limited to)

  • Task assignment and management- get assignments in, answer any questions related to assignment, etc.
  • Coordinate internal resources for the flawless execution of projects
  • Ensures that all projects are delivered on-time, within scope and within budget
  • Developing project scopes and objectives, involving all relevant stakeholders and ensuring feasibility
  • Ensures resource availability and proper allocation
  • Develops a detailed project plan to track progress and completion
  • Schedules project kickoff meeting and project status meetings with key stakeholders
  • Manages changes in project scope, schedule, and costs
  • Measure project performance using appropriate systems, tools, and techniques and report to stakeholders
  • Manages the relationship with all stakeholders
  • Performs risk management to minimize project risks
  • Maintains comprehensive project documentation

Job Requirements

  • At least 3 years project management experience
  • Familiar with PM software system(s)
  • Workamajig experience preferred
  • Digital experience preferred
  • Agency experience, preferably medium-size agency experience
  • Experience on a small PM team

Job Description

The Account Executive (AE) is responsible for program management across all facets of the AOR project process. The position requires strong organizational and problem solving skills combined with the ability to manage multiple projects and deliverables at the same time, while exemplifying a professional and can-do attitude within a complex and dynamic agency culture.  In order to move into the Account Executive role, you will need to show a high level of success in mastering the Account Coordinator duties, proven leadership, organizational and decision-making skills.

Roles and Responsibilities

  • The Account Executive is the day-to-day point person for all projects and activities on the account.
  • Understanding of the client’s business and ability to act as an extension to their marketing department.
  • The Account Executive is a brand expert on their assigned account(s).
  • It is the Account Executive‘s responsibility to ensure effective/efficient account operations within the agency environment.
  • Day-to-day management of all aspects of the account including strategy, creative and production are paramount to excel in this position.
  • The Account Executive is expected to carry out the daily account activities, but also think and act strategically on behalf of the client.
  • The Account Executive can work independently on assigned projects, keeping supervisor informed as needed, exhibiting good judgment and decision-making skills.
  • Responsible for driving projects forward.
  • Develop strategic and complete estimates and creative briefs for new projects.
  • Solicit and understand client feedback on all jobs and create feedback documents to provide to traffic accordingly.
  • He/she must be a mentor/teacher to the Account Coordinator(s).
  • Responsible for growing client relationships

Job Description

The Account Coordinator (AC) is the entry-level position in Account Service.  He/she provides support to the account team to ensure effective/efficient account operations, providing solid and dependable support across all facets of the AOR project process.  The position is a first-step into account management and requires solid organizational skills and the ability to manage multiple projects and deliverables at the same time, while exemplifying enthusiasm and a can-do attitude within a complex and dynamic agency culture.

Roles and Responsibilities

  •    Provides overall account team operational support
  •    Day-to-day point person on select accounts showcasing the ability and skill to manage clients with the oversight from AS/AE
  •    Primary contact and day-to-day point person for projects and activities on a handful of smaller accounts
  •    Work with traffic, production and creative teams to develop timelines
  •    Ensure client feedback is effectively provided to traffic for scheduling in the system
  •    Proof all work to ensure accuracy before sending along to client/AE/AS
  •    Manage timelines to ensure projects are completed on time
  •    Schedule meetings when needed; room set-up/take down for client meetings
  •    Track project hours to ensure they are delivered within budget
  •    Request quotes from vendors for production projects and facilitate pricing to client with assistance from lead account person
  •    Write and manage weekly status reports with select clients
  •    Works with AS/AE to set individual goals for growth
  •    Demonstrate clear and effective communications when dealing with both internal staff and clients
  •    Responsible for historical account information/knowledge – past work, agency/client correspondence, signed estimates, layout and approvals and proposals
  •    Communicates directly with clients on specified accounts (oversight from AE/AS)
  •    Work directly with agency vendors (printing, premiums, etc.)

Office Hours:

Monday – Friday 8:00AM to 5:00PM. May include work and work functions outside of office hours.
